Recreation Registration Policy

Online Registration:  Online Registration is a quick and easy way for you to sign-up for programs and confirms your enrollment. From the comfort of your own home or anywhere you have Internet access, the Algonquin Recreation Department’s Online Registration will provide you with access to program registration 24 hours a day, 7 days a week. There are periodic times when routine maintenance is completed and the website may not be accessible. We thank you in advance for your patience during these times.  

Online registration payments can only be made with credit/debit cards with American Express, Discover, MasterCard, & Visa. No other forms of payment are accepted for online registration. If you prefer to pay by check, cash, or money order, you may register in-person or send you registration and payment through the mail. Online registration is available on the same day the Guide is delivered to the Post Office. ADA Compliance & Inclusion Assistance: The Village of Algonquin intends to comply with the intent and spirit of the Americans with Disabilities Act. If you or your child needs special accommodations and you are completing a registration form, please be sure to indicate so on your registration form. If you are completing your registration online, please send an email to recreation@algonquin.org regarding any special accommodations that are needed. If you or your child should require an Inclusion Assistant or Interpreter, please fill out the Inclusion Assistance Request Form. This form can be picked up at the Village Hall or can be found online at www.algonquin.org under the Recreation section of the website. You will be contacted by the Village regarding appropriate arrangements for you or your child. Requests for Inclusion Assistant or Interpreter must be received at least ten business days in advance to the class start date.

Course Confirmation: Only registrations that contain a legible and active e-mail account will receive an electronic course confirmation/receipt for the programs requested. If you do not receive a course confirmation and have submitted an e-mail address, please contact the Village to verify your information was entered correctly.

Inclement Weather Procedure: In the event of inclement or questionable weather, a class may be cancelled. All decisions regarding class status will be made approximately one half hour prior to class start time. To check the status of a class, please check our website or contact the Village at (847) 658-2716.  The Village will make every effort to reschedule the class.

Minimum/Maximum Policy: In order to provide optimum learning and pricing, the Village of Algonquin has established a Minimum/Maximum Policy. A class must meet the minimum number of participants for the program to be conducted. If a class is under the minimum number of participants for the program to be conducted, you will be contacted 48 hours prior to the class by Village personnel instructing you of a possible class cancellation. If the class is cancelled, you will be issued a full refund. If class is filled at the maximum, you will be put onto a wait list. Please see wait list description for further details.

NISRA: Northern Illinois Special Recreation Association (NISRA) offers a variety of opportunities to people who have special needs. Individuals with special needs who reside within the boundaries of the Village of Algonquin are eligible for our reimbursement program. The Village will reimburse eligible candidates for the difference between in-district and out-of-district fees for participation in NISRA programming. For eligibility and reimbursement forms, please see the NISRA Reimbursement Form on our main page or stop by the Village Hall. Payment of Fees: All applicable fees must be paid at the time of registration. Please remember that mail-in and drop-off registration payments must be made by check or money order. Walk-in registration may be paid with cash, check, credit card or money order. 

Processing of Registration Forms: All forms will be processed on a first come first served basis. Online registrations are processed immediately upon verification of funds. The Village of Algonquin does not accept registration over the telephone or via facsimile. Please see information above regarding confirmation in the section "Course Confirmation."

Refund Policy: The Village of Algonquin reserves the right to cancel, postpone, combine classes, and/or change instructors as it deems necessary. If insufficient enrollment causes a class to be cancelled, notification will be given, and a full refund will be issued (online convenience fees cannot be refunded). Requests for refunds can be submitted by completing and submitting a Refund Request Form at least five business days prior to class start date. A $5 processing fee is administered for each class you are requesting a refund. Forms are available at the Village Hall or online at www.algonquin.orgRefunds are not issued for season pool passes, trips and/or eventsUpon receipt of your written request, refunds will be processed in the following manner:

  • A full refund (less the administrative fee and online convenience fee if applicable) will be processed if the request is received five business days prior to the start of a class.
  • A prorated refund and/or a credit for another program (less a $5 administrative fee and online convenience fee if applicable) will be processed if cancellation is made prior to the second class meeting.
  • After the second class meeting, refunds will not be issued.
  • All refunds are subject to the final decision of the Village Manager or his Designee.
  • All refunds are issued in the form of a check and mailed once per month by the Finance Department.

Resident vs. Non-Resident Rates: A resident is anyone who resides in and pays taxes to the Village of Algonquin. Those who reside outside of the boundaries or are in unincorporated areas will be expected to pay Non-Resident Rates. If you are unsure whether or not you are a resident, you may contact the Village for verification of your residency or consult your property tax bill.

Return Check Policy: We accept personal checks for payment of registration fees. If for any reason a check is returned to our office marked “NSF,” we will contact you; you will then be required to submit a full cash payment for the fees due. A $20.00 penalty fee will be assessed to all “NSF” checks. If a second “NSF,” or “Insufficient Funds,” is received from the same person, checks will no longer be accepted, and cash, credit/debit card, or money order will be the only form of payment accepted.

Video and/or Photo Imaging: The Village of Algonquin does take photos and/or video images of participants at programs. If you have photos and/or video image of a program you and/or your child/ward have participated in and you would like to share, please send your images to recreation@algonquin.org. Video imaging may be dropped off directly at the Algonquin Village Hall.

Youth Fee Assistance Program: The Village of Algonquin Youth Fee Assistance Program is designed to provide Algonquin families with the opportunity to get their children involved in safe, quality recreation programs that they may not be able to afford without assistance. These activities help provide children with safe outlets for creativity, socialization, play, and learning experiences. There are set guidelines and criteria that applicants must meet in order to be eligible for the program. YFAP Donation: All registrants have the option of adding a dollar amount to their total fees for the Village’s Youth Fee Assistance Program. Donations are used to assist youth in Algonquin who demonstrate financial need for participation in recreation programs.

Wait List: If a class has exceeded the maximum number of attendants, personnel from the Village of Algonquin will contact you and inform you of the class status. At that time, you may request to be placed on a waiting list. If a participant cancels their enrollment, the Village will contact the first person on the waiting list and offer the open space to them. If there are no open spaces after the first week of programming, an additional class may be opened, or a full refund will be issued to all participants on the waiting list.

Waiver:  All registrants will be prompted and required to complete a waiver upon registering.
